Marc Jacobs’ latest miracle: AP invoice automation

The fashion industry is extremely dynamic, and no one highlights that more than fashion innovator and beloved global brand Marc Jacobs. With four collections per year the number of business partners – photographers, bloggers, models, material suppliers – changes almost constantly. Such agility creates challenges for financial and business operations, when it comes to paying invoices efficiently and accurately.

We have a very large vendor base and add almost 50 new vendors every week. A paper-based and heavily manual process just does not work with this volume of vendors and invoices.
Regis Litre, CIO, Marc Jacobs

It was clear something needed to be done. The CIO tasked his team to find the best cloud-based AP invoice automation solution for their retail AX environment. After an extensive evaluation, Marc Jacobs started the project with Medius, and implemented the complete invoice OCR data capture and workflow product, MediusFlow, in just 3 weeks. This rapid deployment is what Marc Jacobs’ CIO called “a little miracle”, made possible by 3 key success factors.

I haven’t seen a lot of miracles in IT projects. This was a little miracle.
- Regis Litre, CIO, Marc Jacobs

1. Cloud-based solution

MediusFlow is a standard SaaS solution for accounts payable, and that specificity means best practices and 95% of common business AP workflows are preconfigured. Deployment only takes weeks and configurations or tuning can be done during and after implementation to suite each organization’s needs. In comparison, an on premise project typically achieves merely getting the server systems in place during a similar timeframe.

2. Standard integration to Dynamics AX ERP

The MediusFlow team has deep expertise of Dynamics AX (we run it ourselves and have a history of consulting on AX implementations) and our integration is seamless. After a code-review of our standard AX integration package, MediusFlow was plugged-in to Marc Jacobs’ ERP during the first day onsite, and test invoices were processed from end-to-end the following day.

3. User adoption and acceptance

Marc Jacobs managed to roll out MediusFlow to all departments within the US organization in just 2 months. The project team credits MediusFlow’s intuitive interface with AP staff and approvers getting up to speed after a short introduction training video. The mobile web-app for approval of invoices has revolutionized the CIO’s morning commute – getting 10 invoices approved on the train while enjoying his coffee.

The MediusFlow solution is engineered with the end-user in focus and has all functionality you need both from an AP perspective as well as an end user who wants to approve invoices.

The results: short lead times, happy vendors and full visibility of financials

In the past there was no chance Marc Jacobs could pay invoices in less than 60 days, which really hurt vendor relationships. Now, with MediusFlow invoice processing lead time is only 11 days.

Since go-live, Marc Jacobs has achieved these clear benefits:

  • $140k annual hard-dollar savings
  • Improved visibility for accrual and forecasting purposes
  • Easy access to invoice reports and underlying invoice images
  • Approving invoices from mobile, on the go
